AI Transparency & Usage Policy

AubrysTech uses AI in specific, clearly labeled features to assist writers and indie authors with their publishing workflow. This policy explains what those features are, what AI does and doesn't do, and how your data is handled. All AI features require deliberate interaction — you will never be surprised by AI-generated content.
1. Features That Use AI
The following features use AI to generate or analyze content. Each is clearly labeled in the platform with a 🤖 or AI indicator.
Writing & Story Tools
- Encyclopedia AI Integration (Claude / ChatGPT) — generates a personalized prompt you use in your own Claude or ChatGPT account to analyze manuscript chapters and update character arc, storyline, and brainstorming fields in your Encyclopedia. Your manuscript text is pasted directly into your own AI session — it never passes through AubrysTech's servers. The feature personally recommends Claude but works equally well with ChatGPT.
- Manuscript Blurb & Logline Generator — generates marketing copy (back-cover blurbs, loglines, taglines) from the book details you enter.
- Trope Research AI — helps identify and explore genre tropes relevant to your manuscript based on the details you provide.
- Fantasy Map Generator — generates and edits illustrated world maps from text prompts you write.
Marketing & Outreach
- Virtual Publicist Pro — generates press releases, pitch angles, media kit copy, and campaign ideas based on your book and promotional goals.
- Virtual Assistant — an AI chat assistant inside the platform that answers questions about publishing, outreach, and your workflow.
- Promo Launchpad — Template Generator — generates promotional copy templates (social media posts, ARC requests, newsletter pitches, launch announcements) tailored to what you're promoting and where.
- Outreach — Template Generator — generates query letters, pitch emails, and outreach copy based on your manuscript details and target agent or outlet.
- SEO & AI Visibility — analyzes your author platform and generates recommendations to improve discoverability in both traditional search engines and AI-powered search tools.
- Marketing Studio — generates marketing strategy and campaign ideas based on your book details and publishing goals.
- D&D Builder — generates tabletop RPG content (encounters, NPCs, world details) based on prompts you provide.
Research & Intelligence
- Submission Intelligence — analyzes patterns in your query history and provides strategic recommendations for your next submissions.
- Agent Database — AI Match — suggests agents from the database who may be a good fit for your manuscript based on the details you provide.
2. What AI Does Not Do
- AI does not access your private submissions, deals, or personal data unless you explicitly provide that information within an AI feature.
- AI does not read your manuscript files — only the details you enter into form fields, or text you deliberately paste into a prompt.
- The Encyclopedia AI Integration passes your manuscript text through your own Claude or ChatGPT account, not through AubrysTech servers. AubrysTech only receives the SQL output you paste back in.
- AI does not make decisions on your behalf — all outputs are suggestions for you to evaluate and use as you see fit.
- AI features are never applied automatically in the background. Every AI action requires a deliberate button press or submission from you.
3. Your Data and AI
We do not use your content to train AI models. Data you enter into AI-powered features is passed to the relevant AI provider's API (OpenAI for ChatGPT-based features, Anthropic for Claude-based features) to generate a response, and is not stored for training purposes.
Both OpenAI and Anthropic operate under strict data handling policies and do not use API inputs to train their models by default. For the Encyclopedia AI Integration, your manuscript text goes directly into your own AI account and is never sent to AubrysTech.
4. AI Output Responsibility
AI-generated content may be inaccurate, incomplete, or not suitable for your specific needs. You are responsible for reviewing, editing, and verifying any AI output before use. Do not submit AI-generated query letters, synopses, or pitches as if they were your own original work without substantial revision and your personal voice.
5. Opt-In Philosophy
Every AI feature in AubrysTech is clearly labeled and requires deliberate interaction. You will never be surprised by AI-generated content in core tracking features. Your query log, submission history, agent database, deals tracker, writing studio manuscripts, and Encyclopedia entries are entirely human-managed — AI only touches them when you explicitly invoke an AI feature and confirm the result.
